CPA Board Meeting Minutes from 8/26/10

CPA Board Meeting – August 26th 6:30 p.m. Tina Marohn’s Home

In attendance – Ginger Everhart, Pamela Gaspers, Sue Wilson-Schmitz, Tracy Hannuksela, Tina Marohn

Calendar for 2010-2011:

Tracy pointed out the need for the board to do the audit before the 1st general meeting. It will require two other board members. Tracy will contact board regarding forming an audit committee in the next few weeks.

The CPA board will be focusing on our three primary goals during our general meetings – Participation, Advocacy and Community Building.

1st General meeting – September 30th. Participation. Focus will be on providing information about the Challenge program at Terrace Park. We are expecting a good turnout of new parents to the Challenge program to attend this first meeting and would like to have Mrs. Freitas, Dr. Tony Byrd and Marilyn Hall attend and speak to parents. At this time we will also communicate our need for classroom reps and volunteers to help with our spring fundraiser.  We will also be seeking new board members for the 2011-2012 school year. Open positions will include co-presidents, treasurer and secretary. Sue to set up meetings with Tony Byrd and will request his attendance at the first general meeting.

2nd General meeting – January 6th. Advocacy. Focus will be on advocacy. This meeting takes place shortly before our Gifted Education Day event. Ginger is looking into finding a legislator to speak at this event. Gifted Education Day t-shirts will also be made available for purchase that night.

3rd General meeting – March 3rd. Community Building. Last year’s Beyond Challenge night was very successful and we are planning on bringing it back this year. Sue to set up speakers from the IB program and UW Academy.

4th General meeting – May 5th our last general meeting. We would like to have Kevin Allen join us and share information on the Brier Terrace Hi-Cap middle school program and are required to elect our 2011-2012 board. CPA is planning to reserve the Commons early this day in order to begin our Festival of the Famous costume fundraiser after school. Ginger to send Kari Potter this information to add this to her volunteer request signup sheet.

Board meetings – Nov. 4th (Ginger’s home), February 3rd (Tracy’s home), April 14th (Tina’s home), June 9th (Ginger’s home)

Ginger to send out new calendar nights to Mary Freitas. Once approved, Tina will add this to the Challenge Spot website.

BBQ planning:

CPA has received 192 RSVPs. The board reviewed Ginger’s Excel spreadsheet that included a shopping list for the bbq, other items needed and assorted volunteer activities.  The plan is to purchase the same amount of food and other necessary items on the inventory as last year, with the exception of fewer veggie burgers. At some point we need to do an inventory of items we still have at Terrace Park. Ginger and Pam will be shopping on Saturday at Business Costco. Emeritus vice presidents Tania Klippert and Megan Hicks, along with their families will be providing help and supplies at the event as well. Miscellaneous tasks were enthusiastically taken up by other members of the board. Everyone to meet up at 9:30 on Sunday to set up at the park. Pam is handling the sale of Gifted Education Day t-shirts.

Challenge Spot website:

Ginger created a reminder post about the up and coming BBQ. Tina to post in the morning.

We now have the ability to archive old items on the site and we decided to list this by year in lieu of monthly. Tina to clean up the site in the morning and then we will send out a welcome post to new and returning parents as well as information on the buses for Challenge students.

Other business:

The new pledge form has been completed and is waiting for Mary’s approval. Once approved we will post on the website.

Tina to send PTA/CPA joint meeting minutes to Mary for approval.

Parent monthly coffee chats will resume shortly. Schedule to be announced.
